Terms and conditions
These terms apply to registration for the EPHEA Conference 2026, held at Western Sydney University’s Parramatta South Campus from 22 to 25 November 2026. By completing a registration you accept them.

Registration and payment
Confirming your place
A registration must be paid in full to confirm your place. Registrations that are unpaid, or that have money owing, are not confirmed and may be cancelled without notice. An issued invoice does not mean a place is being held.
Card processing fees
Card payments are processed through Stripe. A processing fee is charged to the conference by the payment provider and passed on at cost: 2.5% for Visa and Mastercard, 3.0% for American Express. The fee is shown and added at the final step of registration.
An $830 Early Bird member registration comes to $850.75 on Visa or Mastercard, or $854.90 on American Express.
Invoices and correspondence
A tax invoice is sent automatically to the email address given during registration. All registration correspondence, including reprinted tax invoices, is sent only to that address.
If your institution can only pay by invoice, email hello@epheaconference.com.au before you register.
Refunds, changes and cancellations
Cancelling
Cancellations are only accepted in writing to the Event Manager at hello@epheaconference.com.au.
Cancellations received up to 22 October 2026, one month before the conference, are refunded less 25% for administration and processing. No refunds are made after that date.
Transferring to a colleague
Instead of cancelling, you can transfer your registration to another person in your organisation. Tell us in writing by 17 November 2026, five days before the conference begins.
Name badges are issued to the registered attendee and are not transferable on the day.
Changes to your registration
One change per registration is free. Each further change is $55.
Who can attend
A paid registration is required to attend. The conference is intended for academic and professional staff working in higher, tertiary and adult education, and for students who meet the student rate criteria.
Commercial organisations. If you are from a commercial organisation, contact the organisers to request approval before registering. Registrations made without committee approval are cancelled without notice. Soliciting by commercial organisations other than conference sponsors is not permitted.
Age. All attendees must be 18 or over. Because of the nature of the content presented, no one under 18 is admitted to the conference or to social functions.
Language. All presentations are delivered in English.
Access, participation and dietary requirements
We want every delegate to take part fully. Complete the access, participation and dietary fields on the registration form and we will work from those. Dietary requests must be received by 15 November 2026, after which the venue cannot accept them.
At the conference
Name badges. Wearing your name badge is mandatory and is required for entry to all sessions and social functions. Badges are not transferable.
Dress. Smart casual applies to all conference sessions and social functions.
Behaviour. The organisers may refuse admission to any participant. You must not engage in offensive or inappropriate behaviour, including wearing or displaying commercial, political, religious or offensive signage or logos. If you breach these terms, and without affecting any other rights the organisers have, you may be refused entry or removed from the venue, have your ticket cancelled without refund, and be disqualified from future events organised by or affiliated with EPHEA.
Photography. An approved contractor may photograph and film the conference to document the event. By accepting these terms you allow us to record you and to use those images to record the event, at the event, and to promote future events. Tell us if you would prefer not to appear in them. You may take photographs and video on a phone or small camera for personal, non-commercial use, provided it is not disruptive or intrusive and does not breach intellectual property or privacy rights.
Speakers. Views expressed by speakers are their own. The conference does not accept liability for advice given or views expressed by any speaker, or in materials provided to delegates.
Insurance and liability
We strongly recommend that delegates arrange their own medical, travel and personal insurance before travelling. Registration does not include insurance of any kind.
Without affecting any statutory consumer rights that cannot lawfully be excluded or limited: we are not liable for any loss, damage, liability, claim or expense, however caused, including negligence, and whether direct, indirect or consequential, arising from the use of or connected with this site or any product or service purchased through it; and we make no warranty or representation about the fitness or suitability of any product or service shown on this site or on any linked site.
Neither EPHEA nor Jason Thomas Events Pty Ltd is in breach of these terms to the extent that performance is prevented by an event of force majeure, including war, acts of terrorism, epidemics, pandemics or other health-related events, government advisories, earthquake, flood, fire or other natural disaster.
Where our liability cannot be excluded, it is limited to the value of the booking made, to the extent permitted by law.
Privacy
All registration correspondence, including reprints of tax invoices, is sent only to the email address or addresses provided during registration.
