Who’s who

The event is organised by Jason Thomas Events Pty Ltd (the Organiser, we or us) on behalf of the host organisation named in the Event details (the Host). The Organiser manages registration, payments, logistics and suppliers, and is the party you contract with when you register.

The program, speakers, content and approvals for commercial attendance and promotion are decided by the Host’s organising committee (the Organising Committee).

Changes to these terms

Your registration is governed by these terms as they stood when you registered. We may update these terms for future registrations. The program, speakers, session times and other operational details may change before or during the event.

Confirming your place

Your place is confirmed only when your registration is paid in full.

If you submit a registration online without paying, it is held as unpaid and will be cancelled after 7 days unless you have made prior arrangements with the Organiser.

Where the Organiser issues an invoice on request, no registration is held until payment is received. An invoice does not hold a place or secure a registration rate. If payment is received after the rate shown on your invoice has closed, the difference will be charged, unless otherwise agreed with the Organiser.

Registration rates

Registration rates and their cut-off dates are published on the event’s registration page. The rate that applies is the rate current when you submit your registration, provided payment is received within 7 days. Where a late registration fee applies, it is shown in the Event details and on the registration page.

Student rate

Where a student rate is offered, it is available to full-time students, including full-time PhD candidates, who are not in full-time employment. Proof of full-time enrolment is required. If eligibility cannot be verified, or you are employed full time, the registration will be charged at the full registration rate.

Member rate

Where a member rate is offered, you must hold current membership of the relevant organisation when you register. If membership cannot be verified, the registration will be charged at the non-member rate.

Payment

Card payments are processed via the Stripe payment gateway. No card surcharge applies. All prices are in Australian dollars and include 10% Goods and Services Tax (GST).

Invoices

All invoices are issued in Australian dollars and include 10% Goods and Services Tax (GST). Our invoices include all information required for payment processing and supplier setup within standard accounts payable systems. As such, we do not complete additional customer-specific supplier or procurement forms. Card payment via the website remains available as an alternative payment method.

Access and dietary requirements

Please include any access, participation and dietary requirements on your registration form. Requirements must be received by the date shown in the Event details. Requests received after that date cannot be guaranteed, due to venue and catering deadlines.

Commercial attendance

This applies to anyone wishing to attend from a commercial organisation, not only sponsors and exhibitors. Anyone from a commercial organisation must contact the Organiser for approval from the Organising Committee before registering. Registrations from commercial organisations made without approval will be cancelled without notice.

Attendance at workshops, network meetings, special interest groups and masterclasses is not open to commercial attendees. No soliciting by any commercial organisation, other than sponsors and exhibitors, is allowed.

Any other form of promotion, including flyers for conferences, projects, research outcomes or similar, must receive prior approval from the Organising Committee.

Privacy

All registration-related correspondence, including reprints of tax invoices, will be sent only to the email address(es) provided during registration. See our full Privacy Policy.

Cancelling your registration

Cancellations must be made in writing to the Organiser, using the contact method shown in the Event details. Cancellations received by the refund cut-off will be refunded less 25% for administration and processing. No refunds will be made after the refund cut-off.

Transferring your registration

As an alternative to cancelling, you can transfer your registration to another person in your organisation. Transfers must be requested in writing by the transfer cut-off. A transfer counts as a change (see below).

Changes

One change per registration is free of charge. Each additional change incurs the change fee shown in the Event details.

Up to the refund cut-off, the change fee also applies to any change that results in a refund, such as moving to a lower-priced registration type, even if it is your first change. After the refund cut-off, changes cannot result in a refund, and the change fee applies only to changes after your first free change.

Travel and accommodation costs

The Organiser is not responsible for travel, accommodation or other costs you incur in connection with the event, including if the event is cancelled or postponed. We strongly recommend appropriate travel insurance.

Attending

To attend, you must have a paid registration. The event is intended for academic and professional staff working within higher, tertiary and adult education, and for students who meet the student rate criteria.

No transport is provided to or from the venue, airport or accommodation providers, unless stated otherwise on the event website. All presentations will be in English.

Visa requirements for international attendees

All international attendees are responsible for ensuring they hold a valid visa to enter Australia, where required. Information on visa options and application processes is available via the Australian Government’s Visa Finder tool.

The Organiser does not provide visa advice, assistance, sponsorship or guarantees in relation to visa applications. Visa requirements, processing times and outcomes are determined solely by the Australian Government.

Failure to obtain a visa, or delays in visa processing, do not constitute grounds for a refund outside the standard cancellation policy above.

Behaviour

All participants are expected to conduct themselves in a manner consistent with the spirit of the event: collegial, supportive and considerate. Attendees must not engage in offensive, inappropriate, rude or insulting behaviour, including any conduct that is disrespectful, harassing or disruptive to others. This includes wearing or displaying commercial, promotional or offensive signage or logos.

The Organiser reserves the right to refuse admission to any participant. Without prejudice to any other rights the Organiser may have, if you contravene these terms you may:

Dress

A smart casual dress code applies for all sessions and social functions.

Event speakers

Any views expressed by speakers are their own. Subject to applicable law, neither the Organiser nor the Host accepts liability for any advice given or views expressed by any speaker, or for any materials provided to attendees.

Insurance

It is strongly recommended that attendees take out adequate medical, travel and personal insurance before travelling. Registration does not include insurance of any kind.

Name badges

Name badges must be worn and are required for admission to all sessions and social functions. Badges are issued to the registered attendee and cannot be shared. Registrations can only be transferred as set out under Cancellations, transfers and changes.

Photography and recording

Official photography and videography may take place at the event by a contractor approved by the Organiser to document the event. By agreeing to these terms, you authorise us to record you in photos or on film, and to use these photos and videos as a record of the event, at the event, or to promote future editions of the event, including across digital and social media channels. If you do not wish to appear in these recordings, please let us know at the time of registration, or tell the Organiser at any time.

You may use small cameras or smartphones to take photographs and videos for personal, non-commercial use, provided this is not disruptive, intrusive, or in breach of intellectual property or privacy rights, or against the content owner’s wishes.

Liability

Without affecting any of your statutory consumer rights that cannot be lawfully excluded or limited: a) the Organiser will not be liable for any losses, damages, liability, claims or expenses (howsoever caused, including negligence, and whether direct, indirect or consequential) arising from the use of or connected with our site or any products or services purchased on our site, and b) the Organiser makes no warranty or representation as to the fitness or suitability of any product or service displayed on our site or any linked site.

Where liability cannot be excluded, to the extent permitted by law, the liability of the Organiser is limited to the total fees paid by the relevant party in connection with the event.

Venue

The venue operator is responsible, as occupier, for the venue premises and maintains its own public liability insurance. The Organiser is responsible for its own event operations and those of its contractors, suppliers and agents in connection with the event, and maintains public liability insurance covering its operations as event organiser.

Force majeure

Neither the Host nor the Organiser shall be considered in breach to the extent that performance of their respective obligations is prevented by an event of force majeure, such as war, acts of terrorism, epidemics, pandemics or other health-related events, government advisories, earthquakes, flood, fire or other natural disasters.

Accommodation

Where the Organiser has negotiated preferential accommodation rates with selected providers, access to these rates is provided via links on the event website. Any booking made via these links is a direct contract between you and the accommodation provider. The Organiser is not a party to that contract and does not take payment for accommodation bookings. The Organiser may receive a commission from accommodation providers for bookings made through these links.

Negotiated rates are subject to availability, applicable cut-off dates, and the terms and conditions of the individual accommodation provider. The Organiser accepts no liability for the availability of negotiated rates, changes to pricing after booking, cancellation terms imposed by the provider, or any other matter arising from accommodation bookings. Please review the provider’s terms and conditions before booking, and book early, as negotiated rates are available for a limited time only. Cut-off dates will be published on the event website.
